further develop, lead, and execute the organization's
organizational culture and human resource strategies. Reporting to
the CEO, this person will work closely with leadership and staff
across the organization to lead Providence House into the exciting
next phase of the organization's growth and beyond. Job description

to: Reports to President and CEOMajor Functions: Responsible for
Human Resources and Culture Management for employees and
volunteers. Organizational Learning and Culture
- In conjunction with CEO and senior management team, leads the
development, deployment and ongoing monitoring of the
organization's Culture Plan and activities in to ensure employee
and volunteer culture is healthy and aligned with strategic goals.
This includes but is not limited to surveys, retreats, and other
related activities.
- Maintains positive and proactive relationships with CEO and
department directors and managers and serves as subject matter
expert regarding employee engagement. and recommends opportunities
for improvement.
- Oversees the organization's diversity, equity, inclusion and
intersectionality initiatives in conjunction with CEO, senior
management team, and Board DEI Committee as part of the
organization's Culture Plan and Strategic Plan. Embraces and
promotes a culture that supports diversity, equity, inclusion and
belonging.
- Cultivates and maintains productive relationships with staff
and volunteers in order to establish Human Resources department as
a resource and primary point of contact for all personnel. Responds
to employee questions about workplace culture, performance issues,
complaints or grievances, benefits, or policies and procedures in a
timely, confidential, and professional manner.
- Leads, develops, and coaches the Human Resources team.
Distributes appropriate work responsibilities to support employees,
volunteers and strategic organizational and culture initiatives.
- Oversees HR team in scheduling, coordinating, communicating,
tracking and filing of employee and volunteer training sessions,
materials, and certificates of completion in accordance with
agency, licensing, and regulatory requirements.
- Leads and coordinates agency Education Team comprised of HR,
Compliance and Quality Manager, Director of Programming and
Clinical Operations, and Nursery Operations Manager to develop,
deploy, and manage a comprehensive employee and volunteer training
calendar that meets agency, licensing, and regulatory requirements.
Educates staff on various HR policies and practices to ensure
compliance with the policies.
- Leads and coordinates agency Safety Team comprised of HR,
Compliance and Quality Manager, Director of Programming and
Clinical Operations, and Nursery Operations Manager to develop,
deploy, and manage COVID-19 and other health and safety responses
and policies.
- Recommends, leads, oversees, and/or coordinates employee and
volunteer surveys, update and training meetings, Town Hall
meetings, recognition and reward programs as well as staff and
volunteer appreciation activities and events. Policies, Procedures,
and Compliance
- Leads and coordinates investigations and responses related to
employee, volunteer, or client allegations in accordance applicable
federal, state, and local authorities. Maintains communication with
CEO on escalated incidents. Participates as HR lead in agency
Crisis Communications Team response as incident may warrant.
- Leads review, update, and training regarding employee manuals
and policies in conjunction with Compliance and Quality Manager and
appropriate staff, ensuring ODJFS licensing, CARF, and other local,
state, and federal employment requirements are met.
- Stays abreast of applicable federal, state, and local laws
pertaining to employment, ODJFS requirements, COVID-19 regulations
and childcare law. Recommends and/or implements changes where
appropriate, including changes in payroll taxes, garnishments, or
other policies. Performance Management
- Provides coaching to agency leaders and managers on people
strategy, compliance, employee engagement, performance,
professional development, conflict management, and teambuilding.
- Supports managers in the event of performance issues of staff
or volunteers by providing guidance with documentation, meetings,
procedures in the disciplinary process, and mediation as needed.
Ensures documentation is properly recorded and maintained.
- With assistance from HR team, oversees, evaluates and
administers accurate employee position descriptions and a
meaningful performance review process for all employees. Works with
department managers to lead the process and timing of reviews.
Coaches and guides managers on performance evaluation process and
protocols.Employee Life Cycle Management
- Develops, leads, and executes strategies, initiatives, policies
and systems to support all HR functions of the agency through the
employment life cycle in accordance with best practices, agency
strategies, employment laws, and regulatory licensing requirements.
- Works with CEO and department managers to ensure optimal
organizational design, development and growth strategies including
positions, promotions, and compensation adjustments. Ensures that
compensation and benefit changes are in alignment with comparative
markets and assists on forecasts for approved fiscal budget.
- Works with CEO on designing and maintaining organizational
plans and structures that are responsive to growth, succession, and
other organizational needs. Stays abreast of and recommends best
practices related to competitive compensation and benefit offerings
and organizational structures in the nonprofit sector.
- Designs, evaluates and oversees programs for the recruitment,
onboarding, training, support, and retention of all exempt and
non-exempt employees and childcare volunteer positions to achieve
and maintain fully-staffed departments and appropriate childcare
ratios. Implements strategies for sourcing and attracting qualified
candidates, including for difficult-to-fill positions.
- Ensures compliance of employee and volunteer records and is HR
lead for all employee and volunteer HR files and/or census audits
conducted by licensing entities, benefits vendors, and other
authorized parties.
- Oversees employee relations issues including complaints,
mediations, and terminations, and works with department managers to
advise appropriate parties regarding the basis of the complaint and
any resulting action. Spearheads remediation efforts to retain
employees when appropriate. Oversees and analyzes exit interviews
with departing employees, evaluates trends, and shares insights and
recommendations with leadership. Compensation, Benefits and Payroll
Management
- Designs and maintains an employee benefits program that
attracts and retains exceptional and diverse talent. Oversees
benefits administration, including annual review of plans and
premium costs; researching and recommending alternatives; advising
leadership regarding relevant benefit trends; and maintaining
vendor relationships. Coordinates with CFO to ensure alignment with
the fiscal budget and financial position of the organization.
- Oversees employee benefits eligibility, enrollment, and
communications. Communicates benefit changes to CFO and HR team.
- Oversees communication regarding personnel, pay and benefit
changes, including notification to vendors, updates in personnel
portals and notification to CFO for invoice reconciliation.
- Oversees payroll vendor and processing, including payroll
changes; adding new hires; producing payroll reports; managing
compensation changes; and timely distribution of payroll, W-2s, and
1099s.
- Oversees administration of worker's compensation, unemployment,
short- and long-term disability filings, FLSA, ADA, Equal Pay Act,
EEOC, and PTO-related programs.General Duties
- Supports reporting and updates to the Board of Directors and
assigned committees in relation to HR strategy, culture, DEI,
mentorship programs and other initiatives as assigned.
- Participates as HR Lead in inter-departmental meetings and
responds promptly to requests related to HR matters including
budget planning, grant applications, and resource deployment
including but not limited to Leadership Team, Management Team, and
others as assigned.
- Strives to be culturally competent and supportive of diversity
in employee and volunteer programs and policies, service to
clients, and all professional interactions.
- Attend and assist with the organization and execution of
Providence House special events including Annual Luncheon, Deck the
House, and other speaking engagements or fundraising events as
assigned.
- Assist with childcare and other duties as needed.Required
Qualifications:
- Minimum requirement of undergraduate degree in human resources
or related field; master's degree preferred.
- S/PHR and/or SHRM S/CP strongly preferred.
- Minimum of five years of progressively-responsible experience
in human resources, ideally as a human resource director or
manager.
- Non-profit experience in a licensed setting and budgeting
experience preferred.
- Computer proficiency in MS office suites, database software
programs and ADP.
- Excellent verbal and written communication skills
- Ability to interface and work effectively with all levels of
the organization from volunteers and childcare workers to Board
members.
- Must be available for some weekend and evening work to
accommodate 24/7 operations and occasional local travel.
