Job Description:

The ideal candidate must be a flexible, hard-working professional able to anticipate and undertake a variety of tasks for smooth office operations, and provide support with a high level of client service. Must be thoughtful and a self-starter who can work independently, diligently, and well under pressure.

The office services manager performs a wide variety of administrative duties, and is responsible for management and oversight of daily operations, including office organization and ensuring that operations, projects and needs are adequately supplied.

RESPONSIBILITIES

Responsibilities include, but are not limited to:

Management of incoming/outgoing mail for deliveries including faxes, express and overnight courier packages
Operate and troubleshoot office equipment, including copiers, scanners, printers, postage, and fax machines
Assist with copy and binding projects in-house and/or handling outsourcing
Ensure delivery of finished projects according to schedule
Stock, organize and order office supplies (general supplies, paper, toner, pantry supplies, etc.) and clean supply rooms, conference/meeting rooms, and pantries
Management of off-site and on-site file storage, closing file processes, shredding, Wills and Trusts inventory, and corporate record books library
Maintenance of master key system for Cleveland office
Service of subpoenas and other legal papers as directed
Court runs to file or obtain copies
Prepare offices, workstations, and light interoffice moves for new hires/employees
Assist with general appearance of offices and conference rooms/areas, including regular walk-throughs, compiling a checklist for maintenance issues, and placing maintenance requests with vendors and/or building management
Maintain office directory with building
Management of confidential document shredding services
Maintain schedule for, and set up of, conference rooms, including A/V needs, Zoom meetings, and food service (as needed)

SPECIAL SKILLS

Ability to interact effectively and courteously, in person, by telephone, and in writing with attorneys, supervisors, staff, vendors, visitors and other business professionals
Proactively communicate status of work/projects
Proactively asks questions, seek guidance, when needed
Seeks ways to utilize technology to improve efficiency

QUALIFICATIONS

Prior office services and/or customer service experience preferred
Law firm experience preferred
Accepts mistakes and takes corrective action
Attendance and punctuality a must
Basic computer skills (Word, Excel, etc.)
Ability to produce quality work product
Attention to detail and visitor/client experience
Organize and prioritize workload
Utilize resources appropriately to complete work in the most efficient manner
Cooperative and demonstrates flexibility when facing change
Flexible for overtime
Ability to multi-task

REQUIREMENTS

Valid driver's license
Responsible, dependable, honest, helpful, can-do attitude with a smile
Agile and pleasant personality; professional demeanor and appearance
Ability to lift 30 lbs.
