Dental Operations Manager

The primary function of the Operations Leader is to manage the operations of multiple dental practices in an efficient manner and lead in the development of their staff, while exceeding patient expectations and an expected level of profitability.

Essential Duties and Responsibilities: The following is a list of responsibilities associated with the Operations Leader position but is neither an exhaustive nor a complete, comprehensive list of the duties required and expected.

  • Supervise the day to day training and development initiatives for all team members.
  • Maintain timely and accurate training checklists for each new hire as well as each tenured team member.
  • Partner with the Clinical Leader and Front Desk Leader to handle personnel situations, needs and evaluations.
  • Ensure all employees follow the Handbook appearance, attendance and performance expectations.
  • Drive production, revenue and collection to achieve daily, monthly and annual goals.
  • Ensure that each Office Leader is conducting productive Morning Huddles.
  • Ensure each Office Leader is performing effective treatment plan presentations for patients.
  • Ensure all provider schedules are "filled to capacity" to maximize office productivity.
  • Ensure the use of all available reporting to maximize and aid in the building of daily schedules and patient follow- up/communication.
  • Resolve patient concerns and negative reviews in a professional and timely manner.
  • Motivate, direct and lead the activities, performance and training needs for your team.
  • Increase patient referrals and new patient visits by marketing your office in a successful and positive light.
  • Daily responsibilities.
  • Send and/or transmit insurance claims.
  • Post patient payments upon receipt.
  • Deposit of daily receipts.
  • Maintain current Account Receivables activity and follow written A/R protocols.
  • Keep current the outstanding claims report.
  • Additional duties may be assigned as needed Requirements.
  • Dentrix Software.
    • Education: Combination of education/experience normally represented by an Associate's or Bachelor's degree in a Business-Related Field.
    • Experience: 5-10 years of prior dental experience within a management/customer service position.
    • Must have strong skills using Microsoft Office products.
    • Must be able to read, write, speak, and communicate friendly and effectively in the English language.
    • Must possess the ability to make independent decisions when circumstances warrant such action.
    • Must have excellent listening skills and the ability to ask probing questions.
    • Able to effectively and professionally manage multiple priorities and adapt to change within a fast-paced environment.
    • Must have reliable transportation.
    • Traveling is part of the job and on an "As needed" basis.
