Job Description:

The Humane Society of Summit County (HSSC) seeks a part-time Facilities Manager with strong communication, administrative, and hands-on facilities management skills. This role is responsible for establishing, implementing, and maintaining standards for buildings, grounds, vehicles, and equipment across all HSSC properties that ensure a consistently safe, functional, and sanitary environment for animals, staff, volunteers, and visitors. The Facilities Manager plays a critical role in supporting animal welfare operations by proactively managing maintenance systems, coordinating vendors, ensuring regulatory compliance, and responding to facility needs that directly impact health, safety, and shelter operations. Key Responsibilities: 1. Administration & Communications Manage facilities budgets and monitor expenses. Maintain a centralized log of all facility and maintenance needs, tracking progress and completion, and outstanding concerns. Design and implement clear processes for work completed by staff and volunteers. Develop training materials and communication tools related to facilities standards, maintenance procedures, and equipment use. Manage the storage, organization, and inventory of tools, supplies, and equipment to support agency-wide operations. Ensure accurate and timely documentation of all maintenance activities, inspections, and repairs. 2. Buildings, Grounds & Vehicle Maintenance Establish and follow a comprehensive preventive maintenance schedule to ensure buildings, equipment, and grounds operate effectively and to minimize emergency repairs. Perform or oversee routine and preventive maintenance for HVAC, plumbing, electrical, refrigeration, mechanical systems, and pet sanitation systems. Oversee repair, upkeep, and replacement of equipment including kennels, caging, appliances, laundry equipment, and security/alarm systems. Ensure asset integrity and hygiene standards appropriate for high-sanitation animal care environments. Serve as the primary contact for facility emergencies, after-hours maintenance issues, and urgent repair coordination. Ensure safety and upkeep of building exteriors, parking lots, sidewalks, yards, outdoor areas, landscaping, and tree maintenance. Oversee vehicle fleet maintenance, inspections, and repair coordination. Proactively identify and address facility risks to prevent operational disruptions and safety concerns. 3. Facility Safety & Compliance Ensure compliance with fire safety requirements, electrical standards, and OSHA regulations. Maintain documentation related to inspections, compliance, and corrective actions. Oversee emergency preparedness planning, alarm response procedures, and facility security systems. Assess urgency of maintenance and safety issues and prioritize work based on risk to people, animals, and operations. 4. Vendor, Contractor & Project Management Manage relationships with vendors and contractors (including janitorial services such as Jani-King) to ensure work is completed thoroughly, on time, and to quality standards. Review contractor proposals and invoices to ensure costs align with industry standards and billed work matches approved scope and completion. Coordinate outsourced repairs, capital improvements, and renovation projects, ensuring alignment with shelter operations, budget, and animal care needs. Provide facilities-related support for security services, operational activities, and events as requested. Monitor and manage facilities-related expenditures and obtain approvals in accordance with organizational financial policies. 5. Animal Shelter–Specific Facility Duties Collaborate with shelter leadership to ensure animal housing, care areas, and support spaces are safe, sanitary, and meet animal welfare standards. Maintain and repair animal-care-related equipment such as hoses, faucets, drains, and manage vendors for specialized shelter machinery. Respond promptly to facility issues that directly impact animal or human health, safety, or comfort. Ensure proper waste handling and disposal, including clinical and biohazard waste, in accordance with regulations. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. Work Hours/Shifts: 20 hours per week with possibility of 5-10 on-call hours. Must be available for on-call emergency response, including evenings, weekends, and holidays as needed. Compensation: $26-34/hr commensurate with experience
